SIGNATURE CELEBRATION SERVICE AGREEMENT

This Agreement is made between Vancity Officiant (“Officiant”), operated under The Ensora Collective Inc., and the Client(s) listed on the booking form. By submitting payment, the Client acknowledges and agrees to the following terms.
1. SCOPE OF SERVICE
The Officiant agrees to:

Perform a lawful marriage ceremony / symbolic ceremony at the agreed date, time, and location
-
Guide the couple through the legal signing of marriage licence documents
-
Provide ceremony content based on the selected package
-
Offer customization only where specified in the Client’s chosen package
2. FEES & PAYMENT TERMS
-
A non-refundable reservation fee is required to secure the booking
-
The remaining balance is due no later than 30 days before the ceremony
-
Payments may be made by e-transfer or credit card (3% processing fee applies)
-
All fees, upgrades, and add-ons are non-refundable
-
Same-day charges, if any, must be paid within 1 business day for legal documents to be released
-
Bookings made within 30 days of the ceremony require full payment at time of booking
Late Payment Fee
-
If the remaining balance is not paid by the stated due date, a late payment fee equal to 8% of the outstanding balance will apply
-
This fee reflects administrative costs and payment processing fees
-
The fee is applied once per overdue balance and does not compound
Method of Payment for Overdue Balances
-
For overdue balances, payment of the outstanding amount and applicable late fee must be settled by online credit card using a payment link issued by Vancity Officiant
-
Alternative payment methods may not be accepted for overdue balances
Non-Payment Consequences
-
Failure to settle the outstanding balance and late payment fee may result in:
-
suspension of services, and/or
-
delay in the submission or release of legal marriage registration documents
-
3. TRAVEL & LOCATION
Included travel area:
-
Vancouver, Richmond, Burnaby, New Westminster, and within 15 km of V3X
Additional fees may apply for:
-
Locations outside the included service area
-
Downtown Vancouver, UBC area and Stanley Park
-
Locations requiring extended walking distance (>250m from vehicle access)
4. SCHEDULE & PUNCTUALITY
-
The Officiant arrives 10–15 minutes before the reserved start time
-
The ceremony must finish within the reserved time slot
-
Delays caused by the Client, vendors, or guests may result in a shortened ceremony without refund
-
Early arrival or overtime may be added at $95 per 30 minutes, subject to availability
-
Bookings between December 24 and January 1 may incur holiday fees
5. REHEARSAL
-
One rehearsal service is included within the Signature Celebration package.
-
Rehearsal fees and included rehearsal services are non-refundable.
-
Rehearsals may be conducted:
Onsite at the Client’s venue (if permitted),
Online video conference, or
At The Ensora if the Client’s venue is not available or if the Officiant is unavailable on the Client’s requested rehearsal date. -
If an in-person rehearsal cannot be arranged due to scheduling, venue access, or availability limitations, Vancity Officiant reserves the right to conduct the rehearsal through a 45-minute online video conference session instead.

If the Client arrives late, rehearsal time may be reduced to fit the reserved slot.
6. CLIENT RESPONSIBILITIES
The Client must:

Obtain a valid BC Marriage Licence before the ceremony

Provide accurate legal names and required details for marriage registration
-
Present the original Marriage Licence on ceremony day
-
Ensure two legal witnesses are present
-
Provide correct access and event details to the Officiant
-
Maintain a safe, lawful, and respectful environment
The Client is responsible for all delays caused by incorrect, missing, or late-submitted information.
6A. COLLABORATION & PERSONALIZATION
-
Signature Celebration ceremonies involve a greater level of collaboration, personalization, and relationship-centered ceremony writing.
-
The quality, depth, and personalization of the ceremony content are dependent on the Client’s participation, communication, responses, and submitted materials throughout the preparation process.
-
Vancity Officiant is responsible for preparing ceremony content based on the information and collaborative input reasonably provided by the Client.
-
Vancity Officiant will make reasonable efforts to create a personalized ceremony experience using the information available throughout the preparation process.
-
If limited, incomplete, delayed, or minimal information is provided by the Client, Vancity Officiant reserves the right to simplify, adjust, or reduce portions of the ceremony structure, personalization, storytelling, or ceremony content accordingly.

Additional ceremonial elements requested beyond the standard Signature Celebration structure, including but not limited to multicultural rituals, family rituals, custom symbolic elements, or additional ceremony design requests, may be subject to additional fees depending on complexity, preparation requirements, and ceremony coordination involved.

Reduced collaboration, delayed participation, incomplete submissions, or limited Client input do not qualify for refunds, fee reductions, price adjustments, or partial package credits.

Vancity Officiant does not guarantee a specific level of personalization beyond the information and collaboration reasonably provided by the Client.
7. CHANGES, RESCHEDULING & CANCELLATION
Changes
-
One complimentary change if requested 14+ days prior to the event
-
Each additional change incurs a $95 rescheduling fee
-
All changes, regardless of notice period, are subject to Officiant availability
(If no Officiant in our team is available for the new time, payments are forfeited)
Cancellations
-
More than 6 months from event: partial refund minus administrative fees
-
6 months or less: all payments are forfeited
-
No-shows or failure to provide required legal documents = full forfeiture
Refunds are not available if:
-
The Client changes the reserved time and no Officiant in our team is available
-
Delays, weather, or venue issues shorten or alter the ceremony
8. LEGAL REGISTRATION
-
The Officiant submits documents to BC Vital Statistics after the ceremony
-
The Marriage Certificate is mailed to the address listed on the licence
-
Incorrect or incomplete Client information may result in delays or additional fees
-
If the Client forgets the licence:
-
Ceremony may proceed symbolically
-
A separate legal signing appointment at the Ensora is required at $250
-
9. WEATHER & OUTDOOR CONDITIONS
-
Outdoor ceremonies are subject to weather conditions. The Officiant is not responsible for weather-related disruptions, delays, or location changes.
-
The Client is solely responsible for arranging any contingency location.
-
If the Client wishes to request use of The Ensora ceremony space as an indoor alternative, written notice must be provided no later than 24 hours prior to the scheduled ceremony time.
-
Use of The Ensora ceremony space is subject to availability and separate rental fee. Confirmation is valid only upon written approval and receipt of payment.
-
Requests made less than 24 hours prior to the ceremony are not guaranteed and may be declined.
10. LOCATION CHANGES & TRAVEL ADJUSTMENTS
-
Any request to change the ceremony location must be submitted in writing no later than 72 hours prior to the scheduled ceremony time.
-
Approved location changes to venues other than The Ensora will incur a $75 administrative adjustment fee, in addition to any applicable travel fee adjustments.
-
Location changes to The Ensora ceremony space are not subject to the administrative adjustment fee but remain subject to availability and applicable rental fees.
-
The Officiant reserves the right to decline location changes that materially affect scheduling, travel feasibility, or existing bookings.
11. CONTENT, STORYTELLING & MEDIA USE
-
Vancity Officiant, The Ensora, WedHQ, and related brands or media platforms operated under The Ensora Collective Inc. may photograph, record, document, or capture portions of the ceremony, environment, rituals, décor, pets, venue details, or general ceremony moments for storytelling, educational, website, social media, promotional, or media purposes.

The Client acknowledges that modern ceremony work may involve content creation, educational discussion, visual storytelling, or media documentation relating to wedding ceremonies, relationship-centered rituals, multicultural traditions, pet-inclusive ceremonies, or ceremony experiences.

Vancity Officiant will make reasonable efforts to respectfully present and share ceremony-related content in a tasteful and appropriate manner.

Vancity Officiant will not intentionally share personal information, legal documents, marriage licence details, or highly sensitive identifiable information belonging to the Client or guests as part of public-facing content.
-
Non-identifiable ceremony content, including hands, rings, pets, ceremony setup, environmental footage, décor, venue details, symbolic rituals, or non-identifiable ceremony moments may still be used across platforms operated under The Ensora Collective Inc.

Unless otherwise agreed in writing, all photographs, video footage, audio recordings, edits, captions, written ceremony excerpts, and media content created by Vancity Officiant or its collaborators remain the intellectual property of their respective creators.

Public sharing, tagging, reposting, or viewing access does not include complimentary delivery of raw files, edited galleries, downloadable media, commercial usage rights, or ownership transfer.

If the Client has significant privacy or safety concerns regarding identifiable facial images or public-facing content usage, such concerns must be communicated in writing prior to the ceremony date so reasonable accommodations may be considered before photography, filming, or content creation takes place.
12. EMERGENCIES & SUBSTITUTION
If the scheduled Officiant is unable to attend due to illness, accident, or unforeseen emergency, Vancity Officiant will:

First attempt to arrange a qualified officiant from our team, and

If no replacement is available, payments will be refunded
The Client agrees this resolution satisfies all obligations.
13. LIABILITY & SAFETY
Vancity Officiant may refuse, delay, or discontinue service if:

Conditions are unsafe, unlawful, or violate WorkSafeBC rules
-
Individuals behave abusively or prevent performance of duties
Vancity Officiant is not responsible for:
-
Acts or omissions of third-party vendors
-
Venue policies or restrictions
-
Delays caused by Client or guest behavior
The Client is responsible for:
-
Ensuring lawful ceremony conditions
-
Guest conduct and related damages
14. GOVERNING LAW
This Agreement is governed by the laws of British Columbia, Canada.
AGREEMENT CONFIRMATION
By submitting the reservation fee, the Client agrees to all terms in this Agreement.
